JOB SUMMARY:

Responsible for purchasing materials, supplies, and equipment for WRFCHC, including negotiating deals with suppliers, researching possible item selections, and taking inventory of current products.


DUTIES AND RESPONSIBILITIES:

Expedites purchase orders by verifying with the vendor the status of the delivery of goods ordered and purchased by WRFCHC and recording the information received on the purchase order.
Prepares purchasing documents for payment of goods and services received by WRRCHC by performing the three-way match of the invoice, the shipping and receiving copy, and departmental approval copy, determining that the order is complete and ready for payment, forwarding the appropriate documents to Financial Services for payment, and entering pertinent information regarding the purchase order on the database to update the procurement system.
Resolves vendor and department problems regarding purchase orders by contacting the vendor and providing additional requested information, verifying the invoices for purchase orders, confirming delivery dates, correcting other discrepancies, verifying the status of purchase orders for departments, and assisting in identifying unknown shipments that are delivered to the Receiving Dock.
Provides requested information regarding vendors and/or purchases by performing price comparison, specifications, and delivery dates to assist in determining the best bid, track the status of requisitions, contracts, and orders, and calculate relevant costs.
Assists other staff with the distribution of requisition requests, policy and procedures inquiries, and other related duties, processing requisitions or other related documents, and filling in for other staff as needed.
Maintains all WRFCHC equipment (tagging, inputting, and transferring) to prevent wasted or used by unauthorized personnel.
Assists with yearly inventories with department property custodians to ensure any inventory or assets of WRFCHC are safely and securely stored so there is no theft or damage.
Maintains working relationships with established vendors, federally funded programs, state funded programs, and all other tribal programs for the purpose of sound management practice.
Performs other duties as assigned to maintain and enhance the operation of the program.


QUALIFICATIONS:

High School Diploma or Equivalency.
2 years of experience as a buyer/purchasing.
Knowledge of Market conditions and sources of supply, purchasing laws, and regulations is required. Must be willing and able to obtain education as requested/needed on Contract Law, Business Law, Indian Law and UCC Regulations as well as other Purchasing related Seminars.
Must have the ability to deal effectively and interact well with the customers, vendors, and employees.
Must have the ability to work in a fast-paced environment.
Must have the ability to resolve problems/conflicts in a diplomatic and tactful manner.
Must possess a valid driver license and meet insurance standards and maintain insurability under WRFCHCs insurance program.
Must be able to pass a criminal background check under the Indian Child Protection Act and Family Act (P.L.101-630).
First Aid/AED/CPR within 60 of hire.


WORKING ENVIRONMENT:

Ability to lift up to 45 lbs.
Periods of walking, standing and repetitive movements, bending, pushing, kneeling, driving, and bending.
